This position coordinates, recruits and administers the Biblioteca volunteers, matches volunteers with various positions and ensures volunteers are recognized. The Volunteer Coordinator develops and updates the Volunteer Manual and Volunteer Job Descriptions and maintains a Volunteer Time Log. 1. The Coordinator is the first point of contact for the volunteer. The various positions and options available are explained to the volunteer and they determine how much time and what sort of work the volunteer wishes to do. Each Volunteer must fill out an application form to be kept on file by Coordinator. The volunteer is then put into contact with the appropriate staff person or committee chair and given a copy of the volunteer manual and a job description. The staff /or committee chair person provides the direct training. The volunteer is shown the log book which should be filled in each time he/she works or goes to a committee meeting.
2. The Coordinator maintains a database with the name, phone number, email address, street address, how much time they spend in SMA, Skills and interests and position requested and assigned. 3. Each month the Coordinator will retrieve the log pages and maintain a database with the volunteer’s name, type of work being done, hours logged. In this way, when a determined number of hours are reached, the volunteer can be recognized in an appropriate way. We also use this information when appealing for funds as volunteer work has a monetary value. 4. The Coordinator should contact the volunteers by phone once a month or once every two months to get feedback about their work. If there is dissatisfaction, the Coordinator should work with the volunteer and staff to determine if there is a more appropriate position for this person. 5. The Coordinator should discuss any volunteer issues with staff or committee chairs, provide information on volunteers and their work for the newsletter and or articles. 6. As new positions or needs are identified by staff or committee chairs, the coordinator will write new volunteer job descriptions and recruit volunteers to fill positions. Time required: This is an ongoing position and time will vary depending on how much volunteer recruitment is needed and how much turn over there is but at least 4 hours per week to manage this job well. |
